Performs a variety of general administrative tasks in support of the day-to-day operations of the office, including:

  • Prepare reports and correspondence, coordinate travel and meeting arrangements, answer phones, file, and sort and distribute mail;

  • Screen telephone calls, visitors, and incoming correspondence Collect information from the files or staff for routine inquiries on office program(s) or periodic reports, and refer non-routine requests to supervisor or staff

  • Anticipate and prepare materials needed by the supervisor for conferences, correspondence, appointments, meetings, telephone calls, etc.

  • Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general directions

  • As instructed, maintain supervisors calendar, make appointments, and arrange for meeting rooms

  • Requisition supplies, printing, maintenance or other services, type, take and transcribe dictation, create and maintain office files

  • Review outgoing materials and correspondence for internal consistency and conformance with supervisors procedures; assure that proper clearances have been obtained, when needed

  • Maintain recurring internal reports, such as time and leave records, office equipment listings, correspondence controls, and training plans

Education/Equivalent Training Required

Associates Degree in a related business discipline, or the equivalent combination of education, professional training, or work experience.

Experience

3-5 years of related administrative experience.

Strong user of MS Office tools (Word, Excel, PowerPoint)

Excellent communication skills and strong interpersonal skills

Detail oriented

Strong problem-solving skills

This position is based in Washington, DC and requires a background investigation (Public Trust). Telework allowed during COVID-19.
