As an Administrative Assistant III, your day-to-day responsibilities will include:
The Administrative Assistants primary duty will be managing the Department specific system. The AA Ill is expected to check the system on a daily basis and maintain the information in the sponsor knowledge management system for all offices to access
The AA Ill will check the system and work with Security and IT to appropriately download relevant information. In addition to this responsibility, the AA Ill will work alongside the incumbent AA, to maintain calendars for the Chief and Deputy Chief of the department; answer incoming phone calls; schedule meetings and VTCs; manage approvals for the three (3) conference rooms managed by the department; draft, format, coordinate, and route memos (via sponsor internal correspondence system and hand carry)
The AA Ill will work with Department managers on seating within the office and as office custodian grant office entry/exit/arm/disarm access. The AA Ill will track staff officer timesheets to ensure certification status biweekly; check in/out officers by setting up computer accounts and submitting Sponsor requests for accesses; and additional ad hoc projects
The AA Ill is responsible for maintaining the supplies for both vaults, in addition to anticipating supply needs for recurring projects
This position is customer facing and the AA Ill must demonstrate professional decorum as they interact with senior level visitors, both internal and external to the Agency, as well as line level officers on a daily basis
The AA Ill will be expected to brief the senior leaders of Department on project updates on a weekly basis, and as needed; in addition to assisting the incumbent SA and EXO with liaison visits and taskings
The AA Ill will have moderate supervision while conducting these responsibilities and the work is primarily transactional
Moving office supplies between vaults will be required; however, no heavy lifting is expected.
WHAT YOU'LL NEED TO SUCCEED:
HS Diploma and 3 years of relevant experience or equivalent combination of education and experience
TS/SCI with Polygraph
The standard work day is Monday -Friday, 0600 -1800, with no anticipated weekend or overtime work required
Candidate must be able to operate in a team environment as well as successfully work on their own
This position is on customer site
