The Administrative Assistant III will operate with a fair amount of autonomy in a dynamic environment where duties change from day to day. The resource will be situated in a location where greeting guests and answering phones is required, including occasional interaction with senior sponsor leaders. Most activities will be sole support, as opposed to team projects. Most communication responsibilities are verbal, with infrequent writing and no briefing. We have a flexible schedule with core hours from 0900-1500. No physical requirements or travel is anticipated. On occasion and for backup purposes, this resource will be asked to provide coverage for the special assistant who works in the main office with the office lead. The ideal candidate will be familiar with Microsoft Office applications including Outlook as well as other sponsor software including applications such as lime and attendance software, access software, training systems, travel/reservation software and voucher processing software among others, and on-the-job training will be provided for any systems the candidate is not already proficient in.
Calendar Management represents probably 50-60% of time spent. Directly support executive-level managers, including email/phones/documents for at least five senior managers, with at least one executive officer. Resource has discretion to add, remove or reschedule meetings according to management priorities and provide schedule cards daily. Review and prioritize email. Mitigation/prioritization of multiple principal calendars with shared view/access.
Maintain the scheduling of the conference room for the branch executive staff. Also must coordinate branch management calendars with the assistance of the executive staff.
Schedule rooms and meetings with other senior managers and individuals from across the Intelligence Community. Meetings will occur across Washington metro area. Candidate will arrange for access and transportation to/from these meetings as needed; candidate will not be expected to personally provide travel.
Candidate is required to provide back-up assistance to the retirement services team in scanning hard copy files to the digital share drive. The candidate will be expected to update standard operating procedures currently on file on an as-needed basis.
Independently draft correspondence on behalf of department management, organize meetings and clarify department involvement in events. Make copies.
Track supply inventory, place supply orders for both departments. Submit IT trouble tickets as needed. Manage or assist with renovations and moves. Provide backup coverage for another assistant in front office as requested.
Arrange and coordinate travel requests, vouchers, and reimbursements for primarily domestic travel for department leads who may take 3 combined total trips per year. Travel will not include conflict areas. The candidate is not expected to travel.
Assist with venue reservations for department events. Assist with scheduling food service at these events if required.
