The AA will independently drive or manage all support functions for the department. The AA is being asked to support an office of 100 people to include the SIS Chief as it pertains to travel and scheduling conference rooms. The AA will also take on action and task coordination for the Department. The AA will have significant autonomy and should therefore have significant experience and well-honed judgment. Managers expect initiative in addressing a host of issues-including but not limited to scheduling, managing admin processes from beginning-to-end, and coordinating with the offices many stakeholders with a high level of professionalism and efficiency. Given the operational tempo and the fast pace at which this office does business, the AA should be flexible and able to prioritize, respond to fast-breaking requests and be able to complete tasks accurately and quickly. A key responsibility is providing administrative support to five senior managers. These responsibilities could include; managing calendars, organizing meetings, arranging travel, completing all supporting related tasks, independently responding to certain requests, and generally serving as a gatekeeper for management. While the AA sits near and primarily supports senior leaders, they will be expected to support the entire department with requests including but not limited to scheduling meetings, obtaining support services from facilities, building operations, transportation services, and imaging and printing services. The candidate will also be responsible for managing access and clearance requests, as well as tracking and responding to tasking. The candidate will also play a key role in managing Time and Attendance and travel arrangements for the entire department. Work hours are flexible but the candidate should expect to cover core office hours of 8:30 AM until 3 PM.
