Performs a variety of general administrative and operational tasks in support of the day-to-day operations of an office group or customer in a highly cleared environment.
Core hours: 8 hours day between 8am-5pm. Will vet and screen unscheduled visitors, field scheduling phone calls and emails, coordinate calendars, liasse with the office staffs of the Sponsor and other element principle representatives, coordinate with the filed using the Sponsor Internal Communication system, pass clearances, and manage the nuances of the Principal's identity requirements. SA will have discretion to de-conflict, update, prioritize and re-schedule, and will have read/write access to the principal and senior portfolio manager's calendars. The SA will be required locate and schedule conference rooms, VTC meeting and/or training sessions for team members on an ad hoc basis. Scheduling of appointments/meetings may span the organizational community. Review documents for grammar and spelling, and utilize written communication skills to edit documents. Develop, update and implement SOPs. Travel Support to include vouchers, arrange travel, transportation and lodging. Submit access requests, onboard/offboard officers. Maintain phone cards/duty rosters. Pass clearances serve as vault custodian. May be called upon to assist by providing administrative support to planning special events, i.e. all hands, conferences or other ceremonies on an ad-hoc basis. Assist with the consolidation of inputs and creation of briefings to support leadership meetings. Responsible for coordinating and arranging meetings of a broad type and variety. May be required to coordinate and consolidate preparation of materials and ensuring all principals and associates are in possession of full and complete materials in support of meetings.
