The administrative assistant's autonomy will be dependent on the division management's direction. Generally, there is autonomy to conduct administrative functions such as ordering supplies. The administrative assistant is responsible for answering all incoming phone calls to the division's extension. Arrival and departure dates will be decided by the division management. In the past, flex schedules have been approved. No foreign travel is required and travel to other buildings will be infrequent. The building is not located near public transportation so a POV is required. Physical requirements are minimal. Training on computer systems and processes will be provided upon arrival. 

The Administrative assistant will not be required to update SharePoint or office websites but may be asked to maintain group email distribution lists. The AA should have basic MS Office Skills for Outlook, Word, Excel and PowerPoint.

The administrative assistant submits all visitor requests (VRs) through an internal website after gathering all information required for the VR System. The administrative assistant normally will email the visitors to confirm information and generally will meet visitors at the building entrance and escort them to the office. The administrative assistant may be asked to maintain email groups through an internal website and asked to maintain an office roster and phone tree. Internal training can be provided if needed. Training requirements are normally handled by the training division. 

The administrative assistant will need to rapidly become knowledgeable of the Sponsor Organization and OGA classification regulations due to the dual-agency nature of this organization. Recipients are internal to the organization and will generally be in the management chain or working within the Sponsor Organization. There may be requests to update standard operating procedures (SOPs) but instructions will be provided by the managers. Correspondences will generally be at the discretion of the administrative assistant and the selectee will not be required to proofread or edit reports or emails. Records management requirements and note taking will be determined by the management. 

Frequency of meetings will be determined by the division management but will generally be within the division. The administrative assistant may be tasked with reserving conference rooms and sending meeting invites of division personnel. Briefing is not a requirement. The administrative assistant will be required to assist with preparing promotion and interview panel binders for the division. 

The administrative assistant will be POC for asset trackable items in the office inventory. This task requires conducting a yearly inventory with building logistics. Assets are tracked by scanning the barcodes of all equipment using a barcode scanner. Then the data disk is sent to logistics and all items are reconciled. Supply requests are all done via an internal website. No equipment/IT services are required. Any issues with IT are handled by IT services. 

Officers in this division travel extensively. Some travel 40% of their time.  The Administrative assistant will be asked to provide ad hoc support once individual becomes familiar with processes and databases. The travel is mainly OCONUS and with some Multi Leg Trips. The AA will also have to help write up travel approval requests in the Sponsor Travel Database. 

The administrative assistant will manage the meeting and leave calendars for up to 6 division and branch managers on a near daily basis. Daily tasks are dependent on the individual managers. 

The administrative assistant will be expected to oder office supplies through an internal database.
