The duties of the AA are transactional in nature and require discretion and a medium level of autonomy. The AA will interact with the customers on a daily basis, providing information and updates as required. The AA will be a team player, working with a team of contractors and customers. The AA will interact with mid-level personnel on a daily basis and at times be required to work special projects for senior management. The AA is required to have excellent verbal and written communication skills. The AA will be required to work the core hours of 0900 to 1500 (N/A during COVID-19). Flex schedule may be considered on a case by case basis. No travel is required.
The AA must be comfortable conducting database searches, completing data entry, and performing other tasks using various databases/programs/applications and equipment including but not limited to reporting software, sponsor travel systems, sponsor hiring systems, basic-level knowledge of Microsoft SharePoint, Excel and Word, internet, scanner, telephone (Including sponsor-specific phone systems), and following any sponsor branch-related guidance in place for recruiting. Any applicable training needed will be provided by the customer.
The AA will perform copying, filing and reassignment of records. The AA will create correspondence for applicants and send via USPS or FedEx as appropriate. Maintain accurate, up to date standard operating procedures for the position. Continuously review the standard operating procedures to ensure they reflect the way the work is to be done at the current time. Ensure updates are made in a timely manner (2 weeks or less) after each update.
The AA must be able to think critically, be detail oriented, and communicate effectively (orally and in writing) to ensure effective and efficient review of written application materials for applicants. May communicate with representatives from other sponsor offices regarding processing of applicants. Conversations must be held in a professional manner and with an honest "customer service" attitude to portray a positive impression. The AA will communicate with applicants on a daily basis; must be able to work under specific deadlines and be responsive to changing levels of work depending on the number of applicants that come into the system on any particular day. Must accurately convey results to ensure smooth workflow throughout the entire pre-eligibility process of hiring sponsor officers.
The AA will be responsible for providing all inclusive backup support to other officers as needed when those officers are out.
The AA will create and submit office-specific travel requests for the travel administrative assistant to process.
