As an Administrative Assistant II, your day-to-day responsibilities will include:
The Contractor will support the office by coordinating transportation requirements received in a database
The Contractor will work with the customer on their transportation requirements, review/edit/dd/delete/edit/update the word document driver schedule and upload into the database, Add/delete/edit/update each transportation leg in the database, work with offices' Dispatch and Fleet on driver/vehicle availability for the transportation requirements and email each new driver schedule version and verify changes
Keep the team POC for the visit on all transportation requirements
The contractor will also support private flight requirements and work with the private jet company by confirming plane/air crew availability (5 or 6 times a year). These requirements will be coordinated with a Poe of an approved vendor. Airlift requirements will be coordinated under the direction of the team lead and the Chief
The work is dynamic in nature with needing to translate requirements received and further investigation of add-on services that may be needed
The position will interact with the customer via email, Skype, phone and will work side-by-side with the team and other elements
The position will interact with officers of all levels and provide excellent customer service. The officer may serve as a back-up to the rest of the team by booking commercial vehicle rentals, restaurants, events, tours on behalf of the team and coordinating with customers their visit requirements
The contractor will need to have excellent verbal and written communication skills and must be able to understand and brief customers on the office's services
There are currently no physical requirements for this position. After hours may be required depending on level of transportation requirements and support for VIP visits
Prefer the Contractor have the ability to drive a government vehicle
WHAT YOU'LL NEED TO SUCCEED:
HS Diploma and 2 years of relevant experience or equivalent combination of education and experience
TS/SCI with Polygraph
The core hours are 08:30a-4:30p. Expect 2-3 hours of overtime per week as well a possibility of overnight CONUS travel
Proficient Word, Excel, Outlook, PowerPoint
The position is on customer site
