  • The Administrative Assistant's (AA) primary duties are to lead the day-to-day administrative activities of four medium size work units (80 officers in total)

  • The AA will interact daily with work unit managers and frequently with Sponsor Front Office staff, and therefore is expected to be a professional, competent, self-aware, composed, experienced officer and prepared to work in a fast-paced office environment

  • The AA should be able to adjust quickly to changing situations and able to provide strong support during tense and rapidly evolving conditions without breaking stride

  • The AA should possess strong writing and personal communication skills

  • The AA will assist in the management of the teams extremely busy and constantly changing calendars, prioritizing issues and deadlines, and following up on requirements to ensure effective time management and mission accomplishments, following up on all issues promptly and with full attention to detail

  • The AA will track and monitor external taskings received by all work units and is expected to bring short-fuse or high priority taskings to the attention of the appropriate work unit supervisor

  • The AA will maintain, track, monitor, coordinate, and retrieve important office correspondence, such as email traffic, memorandums, official taskings, and other announcements for the management teams in support of work unit duties

  • The AA will back up the Administrative Assistant as needed to include, but not limited to: answering phones, maintaining/scheduling meetings, in/out bound personnel process.

  • No non-WMA or TDY travel is anticipated, but travel between Sponsor buildings (in WMA) on official business, will compensated by documented POV mileage via Sponsor Systems

  • The AA should have intermediate experience with MS Excel, Outlook, Word, and PowerPoint

  • The AA should have prior Sponsor experience, or the ability to quickly become familiar with internal Sponsor systems (such as familiarity with the Sponsor Computer Network, Sponsor Access Request System, Sponsor Supply System, Sponsor Reimbursement System, Sponsor Security Systems, Sponsor Visitor Request System, Products & Services Catalog, Sponsor Procurement Systems, and Sponsor Travel Systems), as the ability to use these applications is strongly desired

  • The AA will be a Responsible Officer (RO) for the office and will be required to complete the Managing Accountable Property training (Approx. 300 items over 6 locations)

  • The AA will be a security custodian alternate for the office and will be required to complete the required course/training. Refresher training will be provided, as necessary, but the AA should be a self-starter, who is ready to work on day one


  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • The AA will observe core work hours from 9 AM to 3 PM and will adjust his/her schedule so that the office is covered during these hours; flexible work schedules are at the discretion of work unit management

  • Candidate must be able to operate in a team environment as well as successfully work on their own
