Manages the workflow of continuously changing priorities, schedules and action items. Screen emails, phone calls, visitors and maintain appointment calendar for SIS-level executive officer, while resolving conflicts with discretion, forethought and tactfulness. Presents clear and concise information in both written and verbal formats, to include creating and responding to administrative correspondences; and maintaining internal communication media. Nature of Work: Autonomy to use good judgement to manage Principal's calendar, coordinate meetings, prepare materials, interacting with all levels of Leadership/Team Members both Staff and Contractors from a variety of organizations. Team oriented environment that requires good communication skills. Handles sensitive information with discretion. SA sits at the entrance to the vault and is responsible for receiving and handling visitors to the office. Communication: Requires good communication skills, both verbal and written (emails/documents), to solicit information and convey requests/decisions in setting/modifying/cancelling/rejecting/preparing meetings. Prints, binds, and shares out briefing and read-ahead materials for leaders to review and utilize in meetings. Specific schedule requirements: Current work hours 7:30 AM - 4:00 PM, normal work hours. Physical requirements: Light lifting (approximately 20 lbs); flexibility to sit or stand ,and walking. No TDY/Travel; Occasional travel to local Sponsor buildings. Key Systems: Outlook Mail/Calendar, Microsoft Office (Word, Excel, PowerPoint), SharePoint, Sponsor Training System, Sponsor Access Request System, Sponsor Procurement system, Sponsor Supply System, Sponsor Catalog System, Sponsor Print Services, Sponsor Vault Access system, Sponsor Travel and Identity Systems. Required systems capabilities: Proficient or ability to become proficient with standard system use, prior Sponsor experience preferred, normally no certification required. System training: Proficient user upon arrival for off-the-shelf software products (Microsoft): all aspects of Outlook email and calendar management (intermediate/advanced); drafting and basic editing/formatting of Word documents (beginner); basic editing of existing PowerPoint slides (beginner) entering and formatting data in Excel (beginner). Individual learns internal systems by using/reading instructions/help desk; no supervisory responsibility for this position; provides administrative instructions to others as needed on various topics and functions.
