HOW AN ADMINISTRATIVE ASSISTANT WILL MAKE AN IMPACT:

  • Working in a discreet environment handling sensitive and personal information daily

  • Completing transactional duties with special attention to detail, being organized, and multi-tasking

  • Interacting with our ongoing POC customers, team members/Leads, and employees via phone, Skype or email

  • Handling and receiving incoming and outgoing correspondence

As an Administrative Assistant III, your day-to-day responsibilities will include:

  • The position deals with all levels of staff within the organization. They will need to work in a team environment and be able to triage their own work and their team members' work in the event other officers are out on leave

  • The position requires excellent written and verbal communication skills. There are minimal to no physical requirements for the position as there is seating available

  • Candidate will communicate verbally and in writing (using Sponsor's electronic communication system) travel communications for a large number of travelers for OCONUS travel

  • Communications include updates and additional correspondence needed for each traveler for cancellations, early or late departure, early or late return, changes in itineraries, and other matters requested by host work unit

  • Candidate must be able to prepare standardized briefing charts and supporting material for orientation-type presentations to the customers traveling OCONUS

  • Candidate will provide briefings on prepared reports and ad hoc if needed. Candidate must gather and prepare necessary stakeholder information to complete and submit security documentation and will provide written correspondence to coordinate approval of travel itineraries on a regular basis

  • Must have the ability to expedite travel requests on demand requiring candidate to have an open working relationship with other key stakeholders/ travel representatives

  • Candidate must be willing to travel to other facilities for document retrieval, and distribution from stakeholders at their location using GOV

  • The candidate must be able to hand-carry requests on behalf of travelers and vendors in order to meet last minute travel requests

  • Candidate must also schedule employees for mandatory organization ­specific training courses as well as coordinate and schedule other required travel related appointments and escort travelers as needed

WHAT YOU'LL NEED TO SUCCEED:

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • TS/SCI with Polygraph

  • Core hours are 0900-1500

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site
