Job Description

GDIT is seeking a CDC IMS Coordinator to support the CDC Incident Management System (IMS).

Mission/ Role Description:  IMS Coordinators are assigned to IMS leadership teams with the responsibility to coordinate, organize and manage team activities as well as communications.  The coordinator may serve as a liaison between IMS teams to internal and external partners of CDC. He/she is responsible for a variety of critical tasks to assure the operational needs of a team to include the following: staffing, task management, documentation, coordinating guidance of documents in clearance, travel and reporting requirements.  In some cases, coordinators may be responsible for coordinating and communicating sensitive information with several IMS teams.

Special skills required: Possess the skill to seamlessly operate in a stressful environment with the ability to be proactive, able to directly coordinate with a diverse set of stakeholders and be a self-starter.  Be able to operate effectively in both a team room and remotely in accordance with guidance provided. Additional skills:

  • Facilitate and influence team morale through staff recognition, team building, and team swag.
  • Synchronize, Triage and Assign work within the guidance of response leadership
  • Coordinate:  Track, Monitor, Confirm, Validate and Verify
  • Effective communications both verbal and written

Roles/Responsibilities:

Synchronize:

  • Serves as the focal point or “Action Figure” of the Incident Manager (IM)/Task Force Lead (TF)/Team Lead for coordination activities.
  • Shields leadership from interruption and maintains calendar as requested.
  • Orchestrates daily Operational Tempo of the IM/TF/Team
  • Ensure Lead(s) remains current on all inbound and outbound communications regarding response activities.
  • Establishes the Staff Rhythm daily and other operational needs as assigned.
  • Organize and manage all staffing functions and maintains updated rosters for the Team.
  • Assist Lead(s) with the compiling of documents, information and resources.
  • Notify Lead(s) of approaching deadlines for reports and RFIs
  • Manages room requests and maintains the operating space
  • Maintains accurate documentation of all completed actions.
  • Manages meeting scheduling and other calendar actions.
  • Prepares daily leadership information folders w/staff rhythm, personal calendar, copies of important e-mails, notes, daily presentations, documents, etc., as required by lead.
  • Establishes and maintains required SOPs

Triage and assign:

  • Manage assigned functional mailboxes and triage all emails to the appropriate team member(s) in coordination with established SOPs.
  • Triages, monitors, validates Task Tracking of RFI’s and RFA’s
  • Maintain task and communications accountability, i.e., ensure timely, accurate, and relevant completion of tasks, and collaborate with other staff on all tasks assigned to the principal function.
  • Proactively assist Task Tracking functions with managing completion and tracking of all tasks (e.g., requests for information and actions) assigned to principal functions from initial assignment to completion.
  • Assist with tasks from IMS leadership, internal and external partners and other response task trackers.  Triage and disseminate to responsible functional roles, track and report progress ensuring final task product or action is provided to the requestor, as well as maintain task documentation completion.

Coordinate:

  • Maintains oversight of documents in the clearance process; specifically by:
    • Establish or improve upon an internal team clearance/review process
    • Secure clearance for documents generated outside of the team that arrive for cross-team review
    • Secure reviews across other teams or functional roles for documents developed within the team
    • Follow-up with reviewers to ensure they meet clearance deadlines
    • Coordinate with response level Clearance Coordinators to initiate formal IMS clearance
  • Maintains oversight of personnel management
  • Manages IM/TF/Team space/room along with computers/phones/printers etc.
  • Manages Task Coordination:
    • Proactively assist with Task Tracking functions
    • Assign and manage all tasks for which the Task Force is the primary or secondary responsible party.
    • Informs and consults with IMS leadership on task coordination actions as required.
    • Liaise with other response teams (i.e. logistics, operations, staffing) to coordinate domestic and international travel

Communicate:

  • Keeps IMS leadership informed 
  • Represent the Team at all coordinator-based events, as well as any meetings, etc. that the Team Lead cannot attend.
    • Task Force Meetings
    • Synchronization Meetings
    • Chief of Staff Meetings
    • Operations Coordination Meetings
    • Clearance Coordination Meetings
  • Collaborate with all IMS functional positions during task completion and facilitate assistance with communications as needed.

Role will require work on weekends and nights as well as normal weekday hours as scheduled by response leadership.

  • Ability to learn the CDC mission and organizational structure and IMS structure and work effectively and efficiently with other CDC offices and IMS sections.
  • Ability to coordinate and collaborate with diverse internal and external partners
  • Computer skills, including proficiency in Microsoft Office applications and collaboration tools such as SharePoint.
