The Administrative Assistant (AA) will provide direct executive support to the executive secretariat senior leadership, while performing group support functions and as a customer service representative. The AA will be expected to interact with other offices, community partners, and visitors at all levels. The AA must have the ability to exercise tact, diplomacy, and discretion with officers, contractor, and outside vendors. The AA will be the main point of contact for administrative requests, to include a significant level of autonomy to resolve requests and/or problems. The processing of arriving and departing officers is a significant responsibility of the AA, to ensure access requirements are completed in a timely manner. The AA is part of the front office staff; professional decorum is required in all aspects to include personal interactions and phone etiquette; as well as, excellent verbal and written communication skills. Is the point-of-contact for ordering supplies and most IT support requests, and will assist in the coordination and scheduling of meetings, conference room, order supplies, maintain organizational charts, and other daily administrative functions. Key Desired Qualifications: • Effective client management skills, to include experience managing across offices and directorates. • Ability to work both independently and as an effective team member. • Experience in planning, organizing and measuring work. • Flexibility to cope with a changing environment and short deadlines. • Demonstrated ability to multi-task and work independently; self-starter • Ability to quickly learn and adapt to new workflows and tools as needed to support mission imperatives. • Familiarity with continuity operations The AA must be available to work Monday-Friday 7:30a.m. to 4:00p.m. (some flexibility); and although rare, willingness to travel to other buildings (Mclean and Chantilly).
