The AA will, once trained, be expected to independently manage the classes that they are assigned to support. They will have access to student PII and therefore will need to maintain discretion at all times. The AA will need to be comfortable in a dynamic environment. Classes at the Center range in duration from one week to 1 O weeks with two week breaks between classes. Breaks between classes are generally when we advise staff and instructors to take any necessary leave so that they can be available during class time for students. Because much of our training is done outside of the schoolhouse, in the afternoons when students and instructors depart the schoolhouse it gives support staff the opportunity if they have the initiative to work to get ahead and plan for busier days. While the AA assigned to this position will be part of the Course Support team, it should be understood that each person is assigned their own classes. That said, everyone at the Center pitches in when necessary to ensure success and therefore if someone else on the team is going to be out it will be necessary to be 1 trained to back up the other team members. Personnel assigned to this position should be well versed in both written and verbal communication; they will be responsible for communicating with the training and performance officers for all mission centers and components during program calls for courses and for answering routine questions regarding the classes which they support. Additional, they will be responsible for providing the kick out administrative briefing and close out administrative briefing days for their classes at the Center. To help with briefing techniques, we have officers who are available for train the trainer sessions and feedback prior to first time briefings. Our office has core hours from 0800 -1400 and is open as early as 0600 and stays open as last as 2200. That said, for this position, we'd hope to have someone who could arrive no earlier than 0700 since we currently have someone who arrives at 0600; this way we could stagger arrival and departures. Our schoolhouse is open on weekends and holidays; we don't require contractors to be in on holidays but we do authorize the overtime if they have a class running that they are supporting that will need their support during that time. So someone who is willing to work the occasional Columbus Day or Veteran's Day is always appreciated. The schoolhouse is always closed on 4th of July and Christmas and our classes normally end by the 2nd week of December.
Previous experience with Outlook and MS Office suite are required, including Excel at the Intermediate level, Word at the Intermediate level and PowerPoint at the Intermediate level. The AA will need Intermediate skills with MS Excel for our statistics database to keep track of the number of students who go through our classes. They will need to be able to subtotal, name cells, create drop downs, create charts, do statistics, freeze panels and export data It is desired that the AA have previous experience with the Sponsor Training System and Cognos experience, as well as basic exposure to SharePoint, Sponsor Procurement System and Sponsor Supply System. Limited OJT will be provided on specific processes and procedures. The candidate will also be expected to cross-train and/or provide some OJT to other team members, as responsibilities for courses may change from time to time. The Office will provide training for Sponsor specific systems that the AA does not have experience with.
