Our work depends on an Cybersecurity Special Assistant (SA) joining our team to support Department of State activities at Rosslyn, VA.

As a Cybersecurity Special Assistant (SA) supporting Department of State, you will be trusted to provide direct support to the Technology Innovation and Engineering (TIE) Division Director. The Special Assistant manages the overall work-flow and coordination of the TIEs office and designated senior staff and is expected to exercise wide latitude of discretion regarding work-flow, priorities, and methods in addition to a solid understanding of cybersecurity tools and techniques. The position requires the use of considerable judgement and independent action and requires a high level of discretion. In this role, a typical day will include:
As a TIE team, we architect, develop, engineer, maintain, and provide continuous sustainment of enterprise-level cybersecurity consulting in support of the customer’s mission worldwide. We also provide secure, reliable, and cost-effective enterprise class cybersecurity professional services.
Serves as the first point of contact for TIE’s Front Office operations, oversees and manages the flow and exchange of information, streamlines interactions with internal and external customers, and facilitates initiatives on behalf of the Director
Frequently conducts research on a variety of cybersecurity topics to prepare background documents, talking points, and other briefing material as needed
Drafts and prepares cybersecurity related correspondence on behalf of the Director
Performs a variety of administrative duties and activities to organize and support the efficient operation of the office
Prepares and coordinates travel and logistical arrangement for the Director and possibly other senior staff as requested
Coordinates status of documents and reports. Updates and prepares listing of weekly or monthly status reports
Develops processes and documents standard operating procedures for workflow management and quality assurance of all contract deliverables.
Captures meeting minutes and coordinates action items to ensure completion.
Maintains files/filing system (both physical and electronic copies). Assists with processing timesheets and travel forms
Oversees workspace allocation and assignments
Oversees technical operations within an office, conduct facility management, and provide technical administrative support during all meetings
Provides event support, to include all administrative details, coordinating facility availability and providing VTC and communications assistance
Completes all expense, travel, and timekeeping reports, as needed.
Writes or consolidates official reports, correspondence, forms, charts, and drafts in which format and terms are complex and do not follow a standard pattern
Compiles, checks, and interprets data; prepares a variety of general reports, which may be relatively technical in nature. Proofreads records, forms, letters, and other documentation for typographical and other mistakes
Compiles, catalogs, and maintains information on materials and documents. Interfaces with requesters and directs them to location of specific items
Arranges travel schedules and makes appropriate reservations. Maintains schedules and calendars; assists in budgeting tasks such as tracking leave and department expenditures. Schedules and maintains calendars for conference rooms and/or coordinates meetings
Orders supplies, assists with escort duties, delivers mail, receives shipments
Coordinates and schedules all training and training completion reports for team personnel
Maintains staff rosters, openings, and organization charts
Organizes and coordinates meeting locations, dates, participants, and agendas
Screens telephone calls and personal visitors, who frequently represent the highest levels of international, national, state and local government or major businesses
Schedules and manages the Directors calendar and exercises discretion in determining priorities and access to the Director
WHAT YOU’LL NEED:
Active Top Secret-level security clearance with SCI eligibility
Master’s degree in a relevant field plus three (3) years of professional experience, OR Bachelor’s degree and five (5) years of experience
Strongly prefer a certification in cybersecurity from any within the 8570 matrix.
Demonstrable excellent writing and verbal communication skills
Expertise in process automation using Microsoft Office and SharePoint technologies
Experience in preparing and delivering presentations to senior executive staff.
Experience developing executive communications, including email, presentations, and official memoranda
Demonstrated experience organizing official records, policy reviews, and correspondence for transition between the periodic transition of executive leadership.
Strong logical/critical thinking abilities, especially analyzing existing database layouts, application architectures, schemas and developing a good understanding of the application model.
Strong knowledge of Microsoft Office and SharePoint
Experience developing Standard Operating Procedures (SOPs), job aids, and hands-on training materials. Strong planning, management, and execution skills
Excellent multi-tasking skills with the ability to prioritize across demands
Ability to adapt to changing work requirements and priorities
Experience in administrative and/or executive assistant roles preferred
Prior experience with Department of State (strongly preferred) or other U.S Government Agencies preferred
Knowledge of Department of State and/or U.S. Government administrative and clearance procedures preferred
Experience in project management or managing processes preferred
