Performs a variety of general administrative tasks in support of the day-to-day operations of an office group or customer.

The Administrative Assistant (AA) will be team oriented he/she will be the sole admin support for an organization of approximately 80 staff and contractors. Daily interaction will be at the Division and below level.  Work schedule will be Monday through Friday, arriving no later than 9am and leaving no earlier than 3pm.  The AA will provide written communication to the division on behalf of the Division Chief and Deputy Chief.

 

Intermediate proficiency in Microsoft Office -particularly Outlook and PowerPoint for formatting; basic skills in Microsoft SharePoint. Must have the ability to send and respond to e-mail in Outlook, supporting the Division Chief with the formatting of presentations in PowerPoint, as well as leveraging SharePoint as a user to access documentation, upload documentation, and updating shared calendars.

 

The AA will answer phones in accordance with established protocols, coordinate/schedule daily meetings, conference rooms, luncheons, and offsites. The AA will be responsible for managing one conference room.  The AA will be enter visitor requests and greet/escort visitors on behalf of division management. The AA will be responsible for verifying timesheet completion for the division and answering questions (Approximately 30 Timesheets).  The AA will also maintain contact cards (phone numbers) and update employee status/whereabouts/leave schedules in a Sponsor database.

 

The AA will submit tickets for repairs with appropriate offices and will also serve as the POC for the division's office supply requests. The AA will enter data and make updates to office SharePoint sites and License Databases to include adding files, editing data, and updating calendars on/in Shared SharePoint sites, updating Excel spreadsheets. The AA will maintain division common area keys (cabinets, etc.), and manage office space requirements (seating charts).

 

The AA will assist with arranging both CONUS and OCONUS travel and entering reimbursements for travel payments for the Division Leadership team, which consists of the Chief, Deputy Chief, Technical Director, and Chief of Operations. The Office is willing to train the AA on Sponsor Travel Processes and Procedures. Approximately 4 trips to be arranged per year. Additionally, the office has travel coordinators who handle actually making the reservations and know the specifics/requirements for any given OCONUS country, the AA would simply be the liaison between the Chief and Deputy with these travel coordinators regarding their preferences (which airport, times that work, how they're getting to the airport, etc.)

 

The AA will be responsible for tracking division leaderships' meeting calendars. Calendar management will be at a low complexity. The AA will be required to deconflict the calendars and prioritize meetings depending on importance of who is asking for the meeting, and suggesting alternative time slots based on availability.

 

The AA will be responsible for attending meetings, taking meeting minute notes, and distributing notes to attendees. Note taking will be at a low complexity.  The AA will track and process routing of official government correspondence (memos, staff processing forms, form letters) that requires multiple signatories. Volume/frequency of official correspondence is roughly 1-5 items per week.
