Performs a variety of general administrative tasks in support of the day-to-day operations of an office, group or customer. Core hours 0800-1600. Coordinate with the Center's course directors to understand course requirements (e.g., course content, number of ICs needed}; update and maintain master schedule of circa 40 IC support for each course; track funding levels of all contracts, prepare funding request documents to increase/change funding levels, as needed, potentially each week, at the beginning of the month, or at the beginning of each quarter. Collaborate with the Center's Management on approvals to hire ICs. Maintain hard and soft copy files for each IC and archive outdated files. Create and maintain SOPs and "how to" documents. Repond to any inquiries from ICs and staff officers regarding program. Will request IT and vault accesses, track status of IC badges, draft paperwork for badge renewals in a timely manner prior to expiration; submit visitor access requests for !Cs to access facility (when necessary). Submit and track training course requests (i.e. SOP course to obtain badge, etc). Create initial paperwork to hire ICs (i.e. Nondisclosure forms, Security paperwork, etc). Create, submit, and track requests from ICs (i.e. Personal Foreign Travel, outside activity, etc.) and communicate the results to the ICs. Assist COTR with recruiting for the IC program, preparing briefings to provide guidance to ICs on invoice submissions and other pertinent guidance. Assist the COTR with appropriate actions to ensure that communication is occuring with each IC and the course directors.
