As a Action Officer supports and manages the responsibilities of the successful completion of all tasks in assigned projects.
Action Officers (AOs) direct and oversee the receipt, tasking, tracking, and closure of all internal and external tasks. The AOs provide the Senior Leadership's responses to various technical and managerial inquires and actions to internal and external stakeholders. As a result, the AOs scope includes delivering coordinated, quality, accurate, and timely responses to over 1,200 actions annually for Headquarters (HQ) and over 500 actions annually for each of the Sites.
Action Officer tasks include:
Perform and maintain support functions to include, but not limited to, recognition programs and training tracking and management;
Manage Tracking Information and Enterprise Response (TIER) and internal office actions for supported office;
Analyze and assign or perform actions as appropriate or by GPOC direction;
Coordinate responses and assess for accuracy prior to senior management review;
Manage and execute the action tracking process; draft standard operating procedures;
Monitor progress on actions, generate metrics to demonstrate accountability for meeting deadlines and quality expectations; prepare periodic reports on action status and keep leadership aware of late, pending and new actions;
Disseminate policy and legislative changes to appropriate parties;
Draft, proofread, edit and provide final review of internal/ external correspondence;
Draft and maintain presentations for audiences; maintain a quality control process for all presentations;
Participate in Directors Action Group (DAG)-related, executive, and senior leadership meetings;
Participate in internal committees, Integrated Process Teams (IPT), working groups and task forces;
Manage records generated during the execution of the Directorates' projects and programs in accordance with Federal laws/ regulations, as well as Directives/ Instructions;
Participate in and assist in the implementation of all system and process improvement initiatives.
Provides military subject matter expertise to assigned programs
BA/BS, 8+ years overall experience
6 years of experience with any Government agency or 5 years within the IC or DoD
Knowledge of federal acquisition requirements, Department of Defense (DoD) and Intelligence Community (IC) budget & finance, and National Security policy
Knowledge of systems engineering (technical knowledge), project or program management
Ability to understand and write in systems engineering technical language
Knowledge of IC/DoD organizational structure, mission, vision, culture, values, philosophy and operating principles
Experience working with senior executives at multiple organizational levels
In-depth knowledge and understanding of DoD/IC issues, policies, programs and procedures affecting the customer and its mission
Proficient in the use of Microsoft Office and standard computer applications
Skill to adapt to a rapidly changing work environment while maintaining flexibility and versatility
Ability to foster solid relationships that promote cooperation and communicate expectations
Ability to analyze situations and make well informed decision
Demonstrated ability to pay close attention to details
Ability to communicate effectively and concisely using a variety of styles and techniques appropriate to the audience
