The primary responsibility of the Administrative Assistant (AA) will be managing the workflow and records management of the MC's Personnel Evaluation and Management Component (PMC). The AA will provide behind the scenes support for all Directorate and executive-level Personnel Management Committee meetings, and be responsible for preparing meeting materials, recording meeting minutes, and records management. The AA will interact with senior managers of the MC's front office and departments during the PMC meetings. Scheduling requirements for the AA are flexible. There are no physical or travel requirements. The AA will also act as a backup AA for the other MC executives, front office legal staff, Chief of Operations and other Directorate executives in the MC's front office. Full time position for a M-F schedule, however, maxiflex schedule is authorized within the M-F construct.
The AA must have Basic skills with MS Word and PowerPoint and Intermediate !skills with MS Excel and Outlook. Intermediate level of experience for MS Excel is required because all of our tracking of position information is within Excel, as is our means to track and update program calls, so a working proficiency is highly desired. Additionally it is highly desired that the AA be proficient in the Sponsor's resource management and training databases.
The AA is responsible for researching, analyzing, formatting and editing data for officers being reviewed by PMCs. The AA is also responsible for entering this information into the MC's Online Database and corresponding with MC Department managers regarding the results of interview panels.
The AA will be responsible for preparing the MC's Personnel Evaluation and Management Component (PMC) agenda for all Directorate and executive-level PMC weekly meetings. The candidate must coordinate and attend the PMC meetings, in order to summarize the results and coordinate with MC Front Office staff for final concurrence. This task requires the ability to enter data, record minutes, and create reports using Sponsor systems. The task also requires the ability to track attendance and disseminate the meeting minutes to the participants and the panel chair from Sponsor systems. Finally, the AA must make notifications to officers regarding the results of the PMC meeting. These activities impact I all staff and contractor employees in the MC.
The AA will be responsible for disseminating the weekly PMC agenda and records management of the PMC minutes to all stakeholders. This task requires the ability to file hardcopy documentation of the PMC minutes and approvals and to produce canned reports from Sponsor Systems.
The candidate must provide back-up support to the MC's training officers which includes the proficient use of multiple training databases, coordinating with various training components across the Sponsor and corresponding with officers in the field regarding scheduling required training for upcoming PCS assignments. The AA may be asked to submit Access requests for MC officers that fall under the office's purview, as well as to assist in updating phone cards/rosters. The AA will not be responsible in dealing with or meeting visitors or providing any vault accesses.
The AA will be responsible for monitoring incoming emails and telephone calls for MC Department's senior management. The AA will accurately manage scheduling of medium to high complexity, with the ability to prioritize and manipulate three officer's (One Chief and Two Deputy Chiefs) calendars.
The AA will regularly assess the supply needs of the office and place orders to maintain appropriate levels of office supplies utilizing an online ordering database. They will further serve as a POC for coordination of repairs or replacement of office equipment.
