**Position requires an in-scope TS/SCI clearance and polygraph.**
Core hours 0900-1500. Gather, create, compile, and publish weekly reports for the group, proactively pulling from JIRA, Primavera P6 and other tools to collect relevant information, and work with the group communications officer. The AA will ensure all briefings, reports, websites, SharePoint sites, and other media are professional, free of errors and comply with the appropriate templates. Manage, coordinate, prioritize and schedule meetings based on the three division chiefs and three deputy division chiefs. Coordinate and schedule meetings, both internal and external meetings in WMA. Attendees might include officers from multiple organizations depending on the meetings. The AA will reserve conference rooms with the appropriate capabilities, such as, systems and VTC. The AA coordinate and track attendance of meetings, acquire and create meeting topics and set schedule. The AA will also draft meeting minutes if required. The AA will manage and track both internal and external actions, compiling responses as necessary and ensuring the group Senior Leadership Team (SL T) is informed before responses are provided outside of the group. Handle all contractor and staff check-in and check-out activities, to include access requests, vault access requests, seating assignments, office nametags and welcome packages. The AA will submit visitor requests when requirement arises, which will be less than 10 per year. The AA will create, track and record emergency personnel list and create, track and record VIPs list. Provide phone coverage and plan travel for support to three division chiefs. Track and record staff officers external training in an Excel spreadsheet. This includes four principals, six division level officers, and seven branch level officers. Therefore, tracking training for 17 staff officers. In the future the Excel tracking might be transitioned to another corporate tool database.
Associates Degree in a related business discipline, or the equivalent combination of education, professional training, or work experience.
5-8 years of related administrative experience.
