  • The AA III will demonstrate the ability to schedule immunization appointments and appointments for TOY /PCS clearance physicals for travelers, cancel appointments, and block dates/times utilizing the Sponsor's Appointment Scheduling programs

  • The AA III will be able to troubleshoot scheduling issues independently and will work with all entities (Medical Requirements Officers, Laboratory staff, Clinic management) to identify scheduling best practices

  • The AA will be able to identify issues in the scheduling process and make suggestions for improvement

  • The AA III will gather data relevant to their assigned work area to inform management on utilization of services and trends

  • The AA will develop spreadsheets utilizing Excel to maintain data and produce spreadsheets and graphs for presentation to Branch management

  • AA will update existing spreadsheets with current data and will assist with the development of new spreadsheets as needed to support new and ongoing programs

  • AA will assist with the creation and assembly of program binders and training materials

  • AA will monitor inventory levels of clinic and work area supplies and will obtain these supplies either by ordering directly from office supply catalogs or by working with the office's logistics officer

  • AA will ensure supplies are ordered in a timely manner

  • The AA will maintain the orderly condition of each examination room and work area, restocking and replenishing supplies as needed

  • AA will assist with the development of stocking sheets for each area that include par levels and expiration dates, as appropriate

  • Maintains up-to-date phone directories and email group listings for office

  • Generates tickets in Sponsors request system to add new staff to appropriate email groups

  • Periodically reviews existing email groups with branch chiefs and requests modifications as needed

  • Communicates clearly and follows up to ensure closed-loop communication

  • Responsible for reproduction of group notebooks relating to projects, panels, meetings

  • Takes minutes at office meetings and distributes to the appropriate members of the staff

  • On an ad hoc basis, creates or develops reports, spreadsheets, memos with updated information on program/project status, updates, changes

  • Compiles information from multiple sources and uses this information to formulate documents

  • Provides exceptional customer service

  • Ensures all questions are answered to the satisfaction of the customer

  • Seeks assistance from branch management or other appropriate individuals when assistance is needed for resolution of the issue


  • The position requires an active TS/SCI with Polygraph clearance

  • HS Diploma and 3 years of relevant experience or equivalent combination of education and experience

  • Core hours preferred are 9am-3pm

  • Candidate must be able to operate in a team environment as well as successfully work on their own

  • This position is on customer site
