GDIT has partnered with NASA to consolidate select Procurement, Finance, Human Resources (HR) and Information Technology activities from the ten NASA Centers into a single shared services center located at Stennis Space Center in southern Mississippi.
The NASA Shared Services Center (NSSC) mission is to provide timely, accurate, high quality, cost-effective, and customer focused support for selected NASA business and technical services.
GDIT has an opportunity at the NASA Shared Services Center (NSSC) for a Senior Administrative Assistant to contribute to our success in providing HR Services for NASA. This will be a part-time position onsite at Stennis Space Center in Mississippi.
The Administrative Assistant will provide senior level administrative support to the HR Service Office Manager and HR Service Owners who are responsible for oversight and management of the Service Provider HR Services Organization.
Duties and responsibilities:
Based on knowledge of the manager's views, compose correspondence on own initiative about administrative matters and general office policies for manager's approval.
Anticipate and prepare materials needed by the manager for conferences, correspondence, appointments, meetings, telephone calls, etc., and informs manager on matters to be considered.
Read publications, regulations, and directives and take action or refer those that are important to the manager and staff.
Prepare special or one-time reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc., under general directions.
Provide complex, specialized administrative support such as maintaining databases, compiling and analyzing data, preparing advanced MS Excel and PowerPoint support when needed.
Reserve conference rooms and schedules meetings.
Record minutes during meetings.
May assist in creating pertinent department documentation for employees.
Answer incoming calls, researches and responds to inquiries and escalates and/or routes calls to appropriate personnel as necessary.
Request information needed from the subordinate office(s) for periodic or special conferences, reports, inquiries, etc., and shifts clerical staff to accommodate workload needs.
Establish appointments and maintains the Manager’s calendar using MS Outlook.
Coordinate Travel arrangements for Manager and employees that require upper management approval. Ensures accuracy of travel dates and reserves appropriate accommodations to facilitate travel convenience for concerned parties.
Process expense reports.
Assist with special projects involving preparations for customer and senior management meetings.
Maintain office and computer supply inventory for the department; orders supplies as needed to ensure adequate supply.
Order specialized supplies such as business cards.
Contact service personnel for service on office equipment to ensure continuous service.
Perform other administrative duties as assigned.
High School Diploma.
Eight or more years of administrative assistant experience.
Experience working with administrative practices and procedures.
Experience working with writing styles such as grammar, sentence form and structure.
Expertise in MS Office Suite, particularly Excel, PowerPoint, Word and Outlook.
Strong communication and interpersonal skills for communicating with internal and external personnel of all levels.
Strong organizational skills to balance work and prioritize tasks.
