Performs a variety of general administrative tasks in support of the day-to-day operations of an office group or customer.
Core Hours: 8-3pm The AA will work from the Sponsor Reston location to support language testing of candidates through the Recruitment Center (Sponsor Hiring System and Hiring Blitz). Must keep the team aware of activities and works in tandem with another contract administrative assistant in scheduling tests for language students. Candidate also works with Other Governmental Organizations (OGA's) to schedule tests when the testing schedule is full. Valid driver's license is needed. There are currently two AA positions within the team. Each position will be required to cross-train and provide back up to the other AA duties. Both positions will be required to perform some or all of the duties listed. Candidate must be able to work in a fast-paced environment juggling multiple tasks and responsibilities at the same time, while also responding to immediate customer inquiries. The AA must possess verbal and written communication skills, including proper grammar and sentence structure, sufficient to compose and deliver responses to customers' routine questions in a clear and concise manner. Candidate must be proficient in Microsoft Outlook to compose and send emails, Word to create documents and Excel in order to create basic spreadsheets. Must have pleasant demeanor in order to speak to customers on the phone and interact with OGA personnel. Candidate must also demonstrate assertiveness in managing the work/process flow of the Sponsor Hiring System and Blitz testing, as well. There may be occasional OT hours, but these instances are rare (once or twice a year, if at all). Ability to become familiar with Sponsor regulations, policies and unique authorities. Duties do not require extensive lifting/moving or the candidate to remain on their feet.
Needs MS Office Skills (WORD - Intermediate, POWERPOINT - Advanced, and Excel - Basic) and have familiarity with Outlook. Working knowledge of Sponsor Access Request System and Sponsor Training system are desired, but not required. The office can be a fast paced environment and within there can be a large number of PowerPoint Presentations created at any time.
