The Special Assistant II candidate performs a diverse array of functions, tailored to each visit and visitor. Coordinates scheduling of functions with a high-ranking and diverse customer base, including sponsor branches, mission centers, and external military customers. Coordinates across sponsor mission centers and branches to support visits and briefings for senior military commanders and leadership, deploying military units, and orientation briefings for senior service academic institutions. Ensures the group visitor access and parking; proper security access to classified and other action programs; the development of visit agendas using Microsoft Word and Outlook; smooth logistics; the arrangement of breakfast/ lunch/dinner events; and the escort of group-hosted visitors. Assists group leadership and leadership in synchronizing day-to-day visit schedules and maintaining visibility on sponsor and mission partner key leader travel plans. Assist with the organization's representational fund expenditures for visits and liaison engagements with domestic and foreign military partners. Serve as a productive team member in an office comprised of interagency partners who bring different corporate cultures. The candidate will select and coordinate on internal and external locations for hosting executive management official functions; apply sound security principles and provide a professional presence; formulate guest and security access lists; and engage support from other offices. Plan and select menus, photographers, decor and seating charts if needed; facilitate event from arrival of first guest to departure of last guest. Plan and prepare event agendas for executive management, providing detailed directions and support. Work effectively with relevant offices to accomplish mission. Accomplish after-action reports and metrics for visits, to include lessons learned and customer feedback. Brief management on the day-to-day updates of visits and protocol requirements. It is strongly preferred that candidate be familiar with using sponsor computer system at arrival. Candidate should ideally be familiar with use of sponsor internal chat software and intranet system as well as use of unclassified system. Regular and rapid document building in Microsoft Word and coordination of documents via Microsoft Outlook at an intermediate to advanced skill level. On-the-job training is available for data entry in the sponsor visitor access request system. Candidate will be expected to train/assist new team members with use of these systems to achieve mission.
