The Admin Assistant must be able to take initiative for tasks, be effective when working individually and also contribute in our team environment. The AA will be expected to have strong interpersonal skills, to be able to communicate clearly verbally and in writing and to be well-organized. No briefings or presentations are required from an officer in this position. Arrival time will be between 0800-0900 and departure between 1630 - 1730. This position requires a standard schedule consisting of 8 hour workdays 5 days a week. There will be opportunity for additional hours if desired. No lifting, or moving of heavy items is required with this position. No TDYs or travel to other locations is required. You will be working full time in our McLean office space. The position requires medium to high ability to prioritize four officers' (Chiefs and EXO) calendars. The candidate will have full authority to deconflict/reschedule appointments for management as well as locate and schedule conference rooms, VTC meetings and/or training sessions for team members on an ad hoc basis. Scheduling of appointments/meetings may span the organizational community. The AA will interact directly with the MC Deputy Assistant Director and Assistant Director, as well as a blended staff and contract team of administrative assistants and EXOs, and will disseminate products as appropriate as directed by a staff officer. The AA should be proficient with MS Outlook as well as have the following skills with MS Office (Word - Basic, Excel, Basic, and PowerPoint - Intermediate). Outlook and Word are the programs this office uses the most. You will be mainly reading official Internal Communications and knowledge of the Sponsor Internal communication systems is a plus. In all written correspondence, you will be responsible for reviewing to ensure proper grammar and spelling are used, and suggesting edits in order to make written products clear, concise, and accurate. This Admin Assistant does not supervise others but has the opportunity to mentor officers. This will include showing co-workers how to complete actions in the systems and databases you use and providing direction or guidance regarding the completion of administrative tasks across the Mission Center. As a part of our administrative and support team, we will look to you to contribute to office activities and help your teammates in a variety of ad-hoc ways. We may also require you to become familiar with the following databases, for which we will provide familiarization and training if needed: Sponsor Access Request System, Outlook mail, Sponsor Reimbursement System, Calendar Management, Sponsor Supply System, Sponsor Travel System, Sponsor Loqistics Systems.
