Core Hours - 9:00 - 3:00 - The candidate will serve as the office administrator and independently drive or manage all support functions for the department. The candidate will have significant autonomy and should therefore have significant experience and wellhoned judgment and should be able to independently make sound decisions. Managers expect initiative in addressing a host of issues--including but not limited to scheduling, managing admin processes from end-to-end, and coordinating with the office's many stakeholders with a high level of professionalism and efficiency. Given the operational tempo and the fast pace at which this office does business, the candidate should be flexible, willing and able to prioritize and respond to fastbreaking requests, and should be able to complete tasks accurately and quickly, as the situation dictates. A key responsibility is providing administrative support to five senior managers. These responsibilities could include; managing calendars, organizing meetings, arranging travel, completing all supporting related tasks, independently responding to certain requests, and generally serving as a gatekeeper for management. While the candidate sits near and primarily supports senior leaders, they will be expected to support the entire department with requests including but not limited to scheduling meetings, obtaining support services from facilities, building operations, transportation services, and imaging and printing services. The candidate will also be responsible for managing access and clearance requests, as well as tracking and responding to tasking. The candidate will also play a key role in managing Time and Attendance and travel arrangements for the entire department. Work hours are flexible but the candidate should expect to cover core office hours of 8:30 AM until 3 PM. The candidate should be have basic skills using the Microsoft office suite, primarily Outlook but particularly the Outlook calendar, to manage and provide calendars for senior leaders. The officer also should be an expert at using access request systems given that they will serve as the primary point person for managing access for incoming and outgoing officers. The candidate should be an expert at using the travel request database, since they will be responsible for arranging all travel for the office's senior managers, and helping other managers and employees as needed. The candidate should be proficient in using an asset management system since this office has very few micropurchases, but should be competent in using internal supply service system as the primary point of contact for stocking supplies for the department. Customer will provide training on Sponsor systems as needed some basic proficiency is desired if possible.
