As an Administrative Assistant IV, your day-to-day responsibilities will include:

  • The Administrative Assistants (AA) primary duties include supporting the department's four (4) Senior leaders by managing their calendars; scheduling meetings with officers of all levels across the Sponsor; reserving and managing conference rooms: setting up VTCs (includes conferences with OGAs); drafting, coordinating, and routing memos as needed (via Sponsor memo system and hand carry); and working alongside the incumbent administrative assistant to onboard I off­board officers by submitting requests through the Sponsor access tracking system, maintaining vault access, and updating the org chart and phone cards regularly

  • The AA will also maintain the department duty roster, confirming duties with the department and submitting the roster to the Department Front office weekly

  • This position is customer facing and the AA must demonstrate professional decorum as they interact with senior level visitors, both internal and external to the Sponsor, as well as line level officers on a daily basis

  • The AA will be expected to brief the senior leaders of the department on project updates on a biweekly basis or as needed; in addition to assisting the rest of the support team with liaison visits and taskings

  • The AA will have moderate supervision while conducting these responsibilities and the work is primarily transactional. The AA must be able to handle meeting interruptions as needed and make determinations using organizational protocols and current mission priorities to guide decision-making

  • Moving office supplies between vaults will be required; however, no heavy lifting is expected. Travel is not required at this time but should ii be necessary ii would be within the WMA. 


  • HS Diploma and 7 years of relevant experience or equivalent combination of education and experience

  • TS/SCI with Polygraph

  • he standard work day is Monday - Friday, 0600 - 1800, with no anticipated weekend or overtime work required. An 8 hour workday is required with some flexibility around the office Core Hours of 7am - 3pm

  • Proficient Word, Excel, Outlook, PowerPoint

  • Able to perform duties with minimal supervision and some team interaction

  • This position is on customer site
