The candidate is responsible for the full range of administrative duties, including maintaining the principals' calendars, action tracking, organizing meetings, arranging travel. and other administrative support. Candidate would be responsible for 3 senior executives and several team chiefs. The AA Ill position also has an executive officer function to include timely completion of all tracking action taskings, compiling briefing books, training and scheduling coverage of the executive assistant cadre. The AA is expected to anticipate senior management and work unit needs and/or identify trouble spots; research and analyze potential solutions, including complicated and/or sensitive information; exercise sound judgment in proposing solutions; and take appropriate action that will improve work across the office. The AA will also temporarily support the Front Office and two other groups, (total of 9 officers), pending the return of staff support to the Front Office The opportunity is available for the AA to become involved with other front office activities, if he/she desires to do so.

Ability to use Microsoft Office suite of applications. the internet, and other internal applications necessary to complete moderately complex tasks. Ability to use sponsor-specific programs. Prior sponsor experience Is desired, but not a requirement. Technical sponsor staff certification level 1 is desired. but not a requirement. Office management strongly supports a diverse workforce and the development of skills through training and on-the-job experience.

Working with the leadership, the candidate will ensure completion tracking program taskings, compile briefing books, write or verbally deliver responses to customers' moderately complex questions in a clear and concise manner. accurately prepare, route for signature, and disseminate moderately complex correspondence that conform to principals' style and format. plan, organize. and coordinate office events (e.g., off-sites, conferences. ceremonies) as needed, work with the other office personnel to manage the schedules of the office conference rooms and to ensure timely delivery and sending of mail, as necessary.

The candidate will be expected to have the judgement and discretion necessary to manage principals' time by evaluating the priority of unscheduled demands, frequently adjusting and changing schedules with only days/hours' notice made more complex by limited discretionary lime and the occasional interconnectedness of multiple meetings. Candidate should demonstrate proven versatility and flexibility to handle multiple tasks with changing priorities in support of time sensitive deadlines.

The candidate will have oral and written communication skills sufficient to compose and deliver responses to customers' moderately complex questions in a clear and concise manner; and accurately prepare, route for signature. and disseminate moderately complex correspondence that conform to principals' style and format. 

The candidate will partner closely with other personnel to ensure timely completion of sponsor tracking software taskings, build briefing books, and Ito train and schedule new personnel in the tasking process. Working with the senior staff, the candidate will help oversee the extensive office renovation and colocation plan-an eight-way move and renovation of space-scheduled to finish in two years. The candidate will work with the other personnel to track and order office supplies. 

The candidate will be expected to collaborate with other personnel to schedule, secure conference rooms, and assemble materials for meetings and the annual career service panels, work with principals, as appropriate, to ensure transportation is reserved for meetings outside of the building and work with principals to ensure access requests are completed for external visitors in a timely manner and an escort is identified, if needed. 

The candidate will be expected to maintain and update the office's phone trees and organizational chart and will serve as timesheet keeper and vault custodian. 

The candidate will. as appropriate. work with the personnel and executive staff in other offices to coordinate principals' travel. Candidate will also work with other personnel to ensure travel requests are submitted, cables :completed. and documents received to facilitate travel in a timely manner.
