Assist the team lead in the management of the schedule for of all staff applicants, detailees, and contractors associated with the contractor screening program. Work with customer groups to solve scheduling problems and meet their requirements with professionalism and flexibility. If needed, will seek guidance from management. Ability to perform scheduling duties in the absence of team lead and provide assistance to members of the work unit. Work independently and with team under minimal supervision with latitude to exercise independent judgment to accomplish work in accordance with established policies and procedures. Ability to communicate/brief procedures and processes to management, co-workers, customers, and stakeholders to include providing guidance on pertinent changes to business functions and operations. Bring problems or errors to the attention of management or customers in a timely and professional manner and exhibit strong customer service skills to resolve the matter. Must have the ability to anticipate customer requirements, and suggest, implement, and follow up on key business solutions. Position requires careful attention to detail, organization, ability to manage time effectively and ability to multi task. Provide guidance to less experienced contractors as necessary. Ability to perform as a back-up, responsible for coordinating the delivery of multiple professional briefings to sponsor applicants/contractors as needed following a script. Comfortable speaking in front of large groups (20+ people). Excellent oral and written communication skills; sufficient to compose and deliver responses to complex questions in a clear and concise manner. Import and merge test data on a daily basis and oversee maintenance and validation of test results datasets for accuracy and completeness. Will assist sponsor in completing mandatory data entry of applicant testing and generate standardized report. Schedule requirements: Can be flexible as long as works core business hours. No earlier than 7am. No travel necessary.
Candidate should have basic proficiency with Microsoft Excel and an intermediate proficiency with Microsoft Outlook.
May be responsible for compiling and providing metrics for scheduling and anticipating future scheduling/slot data. May be able responsible for scheduling conference rooms and sending out meeting invites/reminders to attendees as part of the calendar management. Serves as a resource and expert on all work flow processes, attend meetings for collaboration of new IT solutions and products.
Updating and development of both existing and new standard operating I procedures (SOPs) for office. Able to maintain and organize a multitude of electronic and physical files. Understanding of complicated filing 'systems and ability to problem solve. Manage routine data entry and scanning of applicant/contractor information to include Excel spreadsheets and multiple medical databases. Assist with balancing case load between team members. Candidate will be expected to verify junior staff remain current on data entry and will maintain reports of branch activities. Reports will be used to generate branch metrics which aid in balancing and rejecting workload.
Will assist team lead with examining multiple staff and contractor doctor calendars to determine availability for scheduling purposes. (setting weekly schedule of appointments).
Notify and assist office manager of office supply needs to include tracking all items for office.
Reserve conference rooms and send out meeting invites and reminders to attendees of upcoming meetings and events.
