The Administrative Assistant Ill will be a primary program contact and must demonstrate a professional and calm demeanor at all times. The successful candidate will be one of several contractors working in a high tempo environment alongside staff officers. This will require a positive, energetic, proactive and engaging personality, and the ability to operate in a high-paced office environment while ensuring all tasks are completed correctly and on-time. Must be willing to ask questions, seek guidance from more senior staff and seek resolution to all tasks in a timely and complete manner. Candidate will be expected to triage incoming customer requests and assert critical thinking for appropriate action to support travelers requirements. They will be required to process travel documents, provide guidance, and work within multiple systems. The core hours are from 0800 - 1630 hrs. Overtime is not expected, but may be authorized on an as-needed basis.

Candidate is expected to be able to navigate several internal systems including internal identifier systems, travel and funding sites, access systems, and common Microsoft programs like SharePoint and Microsoft Office. Candidate may also use Adobe Acrobat, ServiceNow, and external government systems. The candidate will be provided on-the-job training for these systems upon arrival. The candidate will use other sponsor databases to track approval of all travel and validate requirement documentation has been received to support customer travel in desired location. Will extensively use sponsor systems to navigate, track and report status of travel documents.

The Administrative Assistant Ill will be assisting thousands of travelers per month in the processing of visa and passport documents. This will require the candidate to be able to work in multiple systems and collaborate with multiple offices. The candidate will also be assisting industrial contractors with supporting the provisioning of verified travel documents on an as­ needed basis.

The candidate shall be responsible for independently reviewing incoming requests from staff and contractor and validate that the traveler's information has been appropriately documented prior to acceptance. The candidate must be willing to utilize standard operating procedures and develop checklist to ensure key information has been accurately captured. Candidate will assist in the regular delivery of customer's travel documents and correspondence to other supporting government organizations for processing prior to and upon return from travel. The candidate will provide thorough review of received documents to verify accuracy. Will coordinate with other government agencies and customers to distribute necessary travel documents on an as-needed basis.

The candidate will be expected to abide by communication protocol for both in-person and electronic communications at all times and proactively bring to the attention of management any challenging circumstances in a timely manner. 

The Administrative Assistant III must maintain awareness of changing regulatory requirements and will assist with creation/updating of all documentation to train other colleagues to ease transition. The candidate will develop standard operating procedures, help guides and how-to-guides for colleagues and customers. Candidate will coordinate closely with other government agencies to track completion of travel documents in time to support mission related activities. Must cultivate and groom relationships to ensure continuous workflow. The successful candidate will provide updated status of travel document processes and proactively follow up with customers to notify them of processing milestones, delays and/or final delivery. Must be capable of de-conflicting competing priorities and applying critical thinking to address complex problems.
