The Administrative Assistant has RSO - focused duties as they relate to hiring events, which can be in person, virtual, or external at alternate location. The candidate will assist in scheduling event, confirming interview rooms and requesting security briefing. They will create a schedule, email applicants, entering information into databases, record keeping begins. Draft travel arrangements for applicants through internal travel software, submit travel for approval, send approved itinerary to applicants via email or shipping company, gather interview data for the hiring advisors. Candidate will finalize communications with applicants including confirming flights ticketed, personally owned vehicles have been approved, email and call applicants for any last minute itinerary changes. The AA will engage with recruiter including uploading packets to appropriate IT platform, confirm schedule and room assignments for interviews. Will finalize hiring event preparations including updating visitors access request. Candidate will provide non-disclosure agreement (NDA)s to each applicant, inform recruiter of any no-shows, late arrivals or travel issues, provide applicants with a short welcome briefing, escort applicants, gather signed NDAs and add witness signature. Following the event the candidate will talk with recruiter to decide what to do about applicants who are a no show, and update milestones in database. The position falls within a subset of a larger team. Excellent communication, attention to detail, teamwork and personal initiative is expected. Backup duties for daily administrative duties, flexibility with workload as taskings arise, and multi-tasking abilities are required. Good written and verbal skills for both behind the scenes activities as well as with in-house customers and applicants. The recruiting schedule is flexible but works best with an early arrival to address issues prior to the core hours of 0900-1500.
