Core hours: 0730-1530. The office is seeking an experienced Administrative Assistant Ill to play a critical role in supporting all key office functions. This is a great opportunity to garner knowledge of security and counter-intelligence issues as well as provide the successful candidate with an opportunity to expand on administrative assistant competencies such as critical thinking/analysis, exceptional writing / grammar skills, technical expertise and attention to detail. This assignment requires a high level of discretion. The candidate will interact with officers across the sponsor at all levels. The candidate should have experience taking detailed, accurate notes at meetings that will be provided to senior executives. The candidate will independently prepare professional responses to customers using proper grammar and punctuation. Work will also include handling sensitive materials; prior experience working with sensitive issues/materials is preferred. The candidate will also hand carry packages that are urgent and discreet between buildings using a sponsor vehicle.
Strongly preferred to have experience using Microsoft Outlook, Word, and Excel. Experience submitting access requests through internal software would be a plus, but it is not required. Submit visitors' requests and escort visitors, as necessary. Candidate will use sponsor software to prepare packages for distribution.
The candidate will manage his/her work load effectively to meet the productivity standards set by the staff team members, manage the entire administrative process for the personnel evaluation group, to include scheduling meetings, preparing packages for distribution to board members via sponsor software, taking minutes and preparing/formatting/editing final recommendation memos for signature by senior level approving staff, including the executive staff. Actions related to the office are timesensitive and the incumbent will manage multiple actions with specific deadlines. In addition to handling the administrative details of the office, the incumbent will also be responsible for serving as the first point of contact for daily interaction with clients, and maintaining/submitting of time and attendance records based on confirmation of their status. Keep a log of all noted discrepancies, calls, interactions with customers and provide report on taskings. Clients who are facing separation call in daily to advise of their time and attendance. The candidate must remain neutral, discreet, and not disclose any additional information. Regularly update spreadsheets and track case assignments and case.
Associates Degree in a related business discipline, or the equivalent combination of education, professional training, or work experience.
5-8 years of related administrative experience.
