The Sponsor Department/Appeals Staff is seeking an experienced Administrative Assistant to professionally manage the administrative workflow in a high production office. Candidate prepares, uploads, scans, mails, and routes a variety of correspondence and appeals products. Provides accurate and timely responses to status requests and inquiries. Strives to anticipate customer needs and provides exceptional customer service verbally and in writing. Maintain standard operating procedures. Candidate will be responsible for preparing and coordinating second level appeals documents for senior leadership review. Manages work load effectively for quality and productivity standards set by Sponsor. Responsible for tracking and scanning records or files. Position requires candidate to move stacks of paperwork weighing no more than 20 lbs. Position is 1.0 FTE at 1860 hours annually. Overtime may become available if approved through appropriate channels. Occasional travel of approximately 1 O to 15 miles to other customer or contractor buildings as necessary in the WMA via POV or GOV as available. Candidate may vary start and end times within core hours of 0900-1500. The Department has/had core work hours between 0900 and 1500 - meaning arrive no later than 0900 at the latest and work until at least 1500. However, there is flexibility with temporary adjustments to individual schedules.
The AA will use Outlook as a primary means of correspondence with customers and should also be familiar with Sponsor Timekeeping System, Sponsor Security Systems, and Sponsor Internet system. Specialized training and OJT will be provided upon arrival. AA will provide miscellaneous support services to various databases to validate and update information. Basic Excel skills; intermediate PowerPoint skill, and advanced Word skills. We work all functions described in the Advanced Word column.
