Job Description

The Program Assistant delivers basic planning, administrative, and operational support across a designated division at a federal agency. This role serves as an integral member of the team, providing administrative support and working in close partnership with both federal and contractor staff to support operational needs.

 

Position Duties:

  • Provide planning and administrative support, to include the scheduling of meetings, managing distribution lists, capturing and distributing meeting minutes, conducting data entry, filing and maintaining of documents, etc.
  • Coordinate and prepare briefing materials and presentations.
  • Maintain team document repositories, ensuring consistent standards of document organization, versioning, and collection across the team.
  • Assist in drafting and updating Standard Operating Procedures. Provide recommendations to improve the efficiency and effectiveness of workflows across the team.
  • Support the compilation and analysis of data using various database programs and assist with the preparation and review of reports as needed.
  • Participate in selected internal and external meetings, conduct research, and provide background information in preparation for meetings.
  • Serve as the liaison to administrative staff of other agency offices/divisions; manage workflows by monitoring and adapting schedules based on assessment of level of importance, sensitivity, and confidentiality.
  • Review outgoing materials and correspondence for internal consistency and conformance with procedures; ensure that proper clearances have been obtained, when needed.
  • Update and maintain recurring internal reports, such as contact lists, correspondence controls, etc.
  • Additional duties as assigned.

Qualifications:

  • Bachelor’s degree in a related discipline along with 1 year of related experience.
  • Excellent organization skills and attention to detail.
  • Prior administrative experience required.
  • Ability to prioritize tasks and manage competing deadlines.
  • Self-motivated with demonstrated qualities of humility and integrity.
  • Highly productive with minimal need for direct supervision.
  • Excellent written and verbal communication skills.
  • Expertise in MS Office including MS Outlook, Word, Excel, and PowerPoint.
  • Experience working with immigrants, refugees, and underserved populations is preferred.

Additional Requirements:   

  • This position requires an existing MBI T2 Public Trust or the ability to obtain one.    
  • Position is 100% remote but may require periodic travel to Washington, DC.

Salary and Benefit Information

The likely hourly rate for this position is between $29.52 - $34.50. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
