Job Description

Position Summary

The Program Analyst Associate provides high-level program and operational support to the leadership team. This role is responsible for managing communications, processing expense reports, and coordinating and organizing director-level activities to ensure smooth and efficient operations. The ideal candidate is highly organized, detail-oriented, and comfortable supporting multiple leaders in a fast-paced environment.

Key Responsibilities

Communications

Draft, edit, and distribute internal and external communications on behalf of leadership

Serve as a point of contact for inquiries related to leadership activities

Coordinate meeting materials, agendas, and follow-up communications

Expense Reports & Financial Administration

Prepare, submit, and track expense reports in accordance with company policies

Reconcile receipts and resolve discrepancies in a timely manner

Support basic budget tracking and administrative financial reporting as needed

Calendar & Schedule Management

Manage and coordinate complex calendars for directors

Schedule meetings across multiple stakeholders and time zones

Prioritize appointments and proactively resolve scheduling conflicts

Administrative & Organizational Support

Maintain organized digital and physical filing systems

Support planning and logistics for meetings, reviews, and events

Assist with onboarding logistics and administrative processes

Required Qualifications:

Education:

Bachelor’s degree

Experience:

Experience supporting multiple leaders or teams simultaneously

Proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint) or equivalent tools

Prior experience with Concur preferred

Skills:

Strong written and verbal communication skills

Excellent organizational and time-management abilities

High attention to detail and accuracy

Ability to handle sensitive and confidential information

Proactive, adaptable, and solution-oriented mindset

Salary and Benefit Information

The likely hourly rate for this position is between $23.30 - $28.18. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
